Introduction
Successful coaching relationships are built on clear expectations, mutual respect, and shared goals. The Coaching Agreement below outlines how we will work together, what each of us can expect from the coaching process, and the commitments that support meaningful growth and progress.
Coaching Partnership
Coaching is a collaborative process that builds the skills needed to thrive in school, sports, and daily life. The client’s commitment and engagement are key factors in the success of this work.
At THRIVE, we employ a neuroscience-informed approach that integrates executive function coaching, nervous system regulation, and mental performance training to support lasting growth.
Sessions combine strategy instruction, skill-building practice, goal setting, and reflection to help students and adults develop routines they can confidently use in their daily lives.
When you work with THRIVE, you have the benefit of a multidisciplinary team dedicated to your success. While the client will have a consistent weekly coach, another THRIVE coach may substitute when their coach is sick or collaborate when their specialized skills can further support the client’s growth.
The coaches at THRIVE adhere to the BCC (Board Certified Coach) Code of Ethics of the CCE credentialing body (https://www.cce-global.org/credentialing/bcc/resources).
Program Structure
Enrollment in THRIVE Coaching includes participation in a semester-based coaching program built on a consistent weekly cadence. Depending on the academic calendar and holiday schedule, semesters include 15–17 coaching sessions, access to the THRIVE Digital Resource Bank (releasing August 2026), weekly accountability check-ins, and curated semester-specific tools supplied for home use (such as a visual timer, 3/20 Movement Mat, etc.).
Two of the semester sessions (generally session 7 and 14) are dedicated parent coaching sessions focused on collaboration, understanding current strengths and challenges, and equipping parents with practical, neuroscience-informed strategies to support progress at home.
Acknowledgment
This agreement acknowledges that THRIVE Coaching & Consulting, LLC, hereafter referred to as THRIVE, has been retained by Client or Parent(s), to provide coaching services to support Client, Student, or Child during the term outlined in this agreement.
Client Commitment
1. I understand that meaningful change develops over time and requires consistent effort and engagement.
2. I agree to actively participate in coaching sessions and apply strategies discussed between sessions.
3. I agree to remit payment for coaching services by the agreed-upon date(s).
4. I understand that coaching is not a substitute for mental health care, medical care, or substance use treatment. If THRIVE believes additional professional support may be beneficial, recommendations may be provided for consideration.
5. I understand that if THRIVE determines my needs consistently fall outside the scope of coaching services, THRIVE may recommend discontinuing coaching and will refund payment for any remaining sessions.
Parent Commitment
I understand that meaningful change develops over time. I will support my child in applying the strategies introduced in coaching at home.
I will do my best to notice positive changes (even small ones) and reinforce them with encouragement.
I agree to remit payment for coaching services by the agreed-upon date(s).
I understand that coaching is not a substitute for mental health care, medical care, or substance use treatment. If THRIVE believes additional professional support may be beneficial, THRIVE may recommend outside resources for consideration.
I understand that if THRIVE determines that the client’s needs consistently fall outside the scope of the company’s professional expertise, THRIVE may recommend discontinuing coaching and will refund payment for any remaining sessions.
Confidentiality
THRIVE is committed to maintaining the privacy and confidentiality of all client information. Coaching sessions and communication will be treated as confidential except in situations where disclosure is required by law, including:
If THRIVE is required to comply with a subpoena or court order.
If THRIVE believes there is a risk of imminent harm to the client or others.
If information involves illegal activity.
Because coaching communication may occur through email, text, video conferencing, or other electronic means, the Client and Parent(s) understand that electronic communication carries inherent risks. By participating in coaching, Client and Parent(s) agree to hold THRIVE harmless for unauthorized access or disclosure that occurs through typical electronic transmission methods.
Mutual Non-disclosure
THRIVE will not share information about the client with third parties without written permission, except as outlined in the confidentiality section above.
To protect THRIVE’s intellectual property, Client and Parent(s) agree not to share or distribute THRIVE’s proprietary materials, methods, or content with others without written consent.
THRIVE, Client, and Parent(s) agree to maintain this mutual non-disclosure during and after the coaching relationship.
Cancellation Policy
Client or Parent(s) agree to provide at least 48 hours’ notice if a session needs to be rescheduled. Sessions canceled or missed with less than 48 hours’ notice are not eligible for make-up and will be considered used.
If THRIVE must cancel a session, we will provide as much notice as possible and will reschedule the session within the current term, preferably in the same week.
Progress Tracking and Communication
Clients and parents complete intermittent skill inventories that help us track patterns, guide adjustments, and support reflection over time.
Clients and parents receive weekly session summaries and action steps, so they can see what is being covered in sessions and how skills are developing.
For day-of logistics and time-sensitive matters, client or parent(s) should contact their coach by text message. This includes situations such as running late, same-day cancellations, or brief context that may be helpful for the coach heading into that day’s session.
Session Duration: 50 minutes per session
Between sessions: The client completes a brief mid-week check-in on their goal to support reflection and follow-through, prompted via an SMS reminder from THRIVE.
Consultation with Other Professionals
Parent(s) may request that THRIVE communicate with school personnel or outside professionals (e.g., therapists, athletic coaches). Phone consultations of up to 15 minutes are complimentary. Advocacy at IEP and 504 meetings is available upon request and at an agreed-upon rate.
Refunds and Credits
I understand that all fees paid are non-refundable unless THRIVE recommends termination of services in accordance with the terms outlined above.
Coaching is designed to occur within a consistent weekly cadence. Sessions canceled with at least 48 hours’ advance notice may be rescheduled by the client or parent using our online scheduling system, with two alternate session times available per week. Alternate sessions do not roll over into future weeks. Limited exceptions will be considered in cases of significant extenuating circumstances and must be approved by Dr. Steele in advance.
Scope of Services and Disclaimer
I engage THRIVE to provide coaching services focused on executive function and nervous system regulation, mental performance skills and related academic, personal, and performance goals. Coaching may include guidance on mindset, habits, routines, and strategies.
I understand that THRIVE does not provide medical, psychotherapy, financial, legal, or employment services.
Agreement
All parties acknowledge that they have reviewed, understand, and agree to uphold the terms of this Coaching Agreement.
